Create and Manage Portal Users

Set up Portal users, limit them to the correct entities, and control whether they can open the tracking workspace.

Create a Portal user

  1. Open Portal Access and click Add Portal User.
  2. Enter the user details and set the Branches, Head Offices, or Relationship Types the account should be restricted to.
  3. Save the profile so the access record is available to manage.

Control what the user can access

  1. Open Manage on the user row.
  2. Confirm the Branches, Head Offices, or Relationship Types the account is restricted to, and whether the account is active.
  3. Under Page Access, check Tracking only when the user should be able to open the PieceOutData tracking workspace; use Quotes, Reports, Report Builder (Editor), and Warehouse to control the other portal sections.

See the portal as the user sees it

  1. Click View as User on the user row. The portal opens in a new tab showing only that user's shipments, tracking sheets, reports, and page access.
  2. A banner at the top shows whose view you are in. The view is read-only: saving, sending messages, and uploads are blocked.
  3. Click Exit View as User in the banner (or Sign Out in the portal) to go back to your own account. Operations Pro pages in other tabs keep running as you the whole time.
  4. The button is not shown for superusers or users with Operations access, because their portal view is not restricted.

Maintain access after setup

  1. Use search on the Portal Access page to find the user by name, email, or customer.
  2. Return to the user record any time their company restrictions or active status changes.
